About the position

The Onboarding Specialist at MorseLife Health Systems plays a crucial role in managing the new hire onboarding process, ensuring that new employees are prepared and cleared for their start date. This position involves a variety of responsibilities, including overseeing new hire processing compliance, managing technology access requests, and tracking the status of new hires. The Onboarding Specialist serves as the main point of contact for inquiries regarding new hire status from both clients and recruiters, providing daily updates to ensure transparency and efficiency in the onboarding process. In addition to managing the onboarding workflow, the Onboarding Specialist is responsible for ensuring 100% compliance for every new hire, transfer, and promotion prior to their start date. This includes making clearance decisions for new hires and advising on any compliance challenges that may arise. The role requires the specialist to set best practices for all aspects of the onboarding process, ensuring that the Applicant Tracking System (ATS) is updated with all necessary information, including hiring details and offer information. The Onboarding Specialist also conducts file audits to maintain accuracy and compliance, schedules candidates for onboarding appointments, and collects required paperwork, licenses, and certifications. The Onboarding Specialist may also assist with recruitment and hiring events, manage employee requests, and handle the reconciliation and payment of onboarding screening invoices. This position is integral to the compliance team, especially during survey preparations across all business lines, and requires a proactive approach to managing the onboarding experience for new hires.

Responsibilities

  • Manage the new hire onboarding process to prepare and clear new hires for their start date.
  • Maintain new hire processing spreadsheet to ensure accuracy for processing and hire.
  • Provide daily status updates on all new hires in the onboarding process.
  • Serve as the main contact for inquiries regarding new hire status for both clients and recruiters.
  • Ensure 100% compliance for every new hire, transfer, and promotion prior to start date.
  • Make clearance decisions for all new hires and communicate risks to early starts.
  • Set best practices for all aspects of the onboarding process.
  • Update ATS system with all required information of new hires, including hiring details and offer information.
  • Stay up to date on all compliance requirements and notify the team as needed.
  • Perform file audits to ensure 100% accuracy and compliance.
  • Schedule candidates for required onboarding appointments and collect necessary paperwork.
  • Conduct background screens and initiate medical paperwork for new hires.
  • Track required certification completion and ensure candidate attendance to processing appointments.
  • Assist with facilitation of recruitment and hiring events as needed.
  • Reconcile and manage payment of onboarding screening invoices.
  • Serve as a key compliance team member for survey preparations across all business lines.
  • Manage employee requests and traffic in the office.

Requirements

  • Bachelor's degree in Human Resources or related field.
  • 6 to 12 months of related experience and/or training, or equivalent combination of education and experience.
