About the position

The Onboarding Specialist at HeartShare Human Services of New York is responsible for facilitating a smooth onboarding process for new hires. This role involves managing onboarding documents, conducting background checks, and ensuring compliance with various regulations. The specialist will work closely with hiring managers and the recruitment team to maintain effective communication and support new employees during their transition into the organization.

Responsibilities

  • Process background checks for all new hires, including registration for fingerprinting and submission of required checks.
  • Review completed onboarding packets for accuracy and compliance with laws.
  • Enter new hire information into the Paycom system and update compliance statuses.
  • Compile and upload documentation submitted by new hires into the Paycom system.
  • Conduct I-9 Employment Eligibility Verification within three days of the new hire's start date.
  • Maintain communication with hiring managers and provide updates on onboarding status.
  • Process and distribute new employee identification cards.
  • Assist with New Hire Orientation, including reserving rooms and preparing materials.
  • Utilize the New Hire Checklist to verify document completion and background check clearances.
  • Conduct Fair Chance Act Analysis and Safety Assessments as needed.
  • Perform other related duties as required.

Requirements

  • Bachelor's degree from a four-year college or equivalent.
  • 2 years of experience in onboarding.
  • Strong interpersonal and communication skills.
  • Excellent follow-up and customer service skills.
  • Strong organizational skills and ability to work independently and collaboratively.
  • Ability to manage time effectively and determine priorities.
  • Strong knowledge of background checks, onboarding practices, and compliance standards.
  • Ability to work in a team and creatively solve problems.
  • Proficiency in HRIS systems and office applications, particularly Microsoft Office365 and Excel.

Nice-to-haves

  • Experience with Paycom or similar HRIS systems.
  • Familiarity with employment laws and compliance standards.
