About the position

The Online Onboarding Specialist (OOS) at Swedish Institute Inc. plays a crucial role in facilitating a seamless enrollment and onboarding experience for potential online students. This position is designed to ensure that students can navigate the admissions process smoothly, accurately, and consistently, adhering to the requirements set forth by the college, state, federal, and accrediting agencies. The OOS will meet with prospective students during the admissions process, providing guidance and support as they transition into their educational journey. This role requires collaboration with various departments, including admissions, financial aid, student services, registrar, and academic departments, to ensure that all onboarding processes are completed efficiently. The OOS will be responsible for ensuring that students have access to necessary resources, such as financial aid, and will work closely with the Enrollment Coordinator to verify that all admissions requirements and documentation are submitted and properly filed. Additionally, the OOS will assist students in addressing any technical issues that may arise during the Smarter Measures assessment, providing remediation as needed. A key aspect of this role is to ensure that students meet the technology requirements for their courses, collaborating with the IT Help Desk to resolve any issues that may occur. Furthermore, the OOS will prepare students for the online orientation process, guiding them through the required technology orientation and ensuring that all necessary learning materials, such as textbooks, are available through the campus bookstore. The OOS will also work with the registrar to finalize the scheduling process, ensuring that the student experience from onboarding to the start of classes is as smooth as possible. This position may also involve assigning additional duties as needed to support the overall onboarding process.

Responsibilities

  • Meet with students during the admissions process to guide them through enrollment.
  • Ensure students have access to the financial aid department.
  • Collaborate with the Enrollment Coordinator to verify all admissions requirements and documents are submitted.
  • Assist students with technical issues during the Smarter Measures assessment and provide remediation if necessary.
  • Ensure students meet technology requirements by working with the IT Help Desk.
  • Prepare students for the online orientation process and assist them in navigating the required technology orientation.
  • Coordinate with the campus bookstore to ensure all required learning materials are available.
  • Work with the registrar to complete the scheduling process for students.
  • Ensure a smooth student experience from onboarding to the start of classes.
  • Assign other duties as needed.

Requirements

  • Associate's degree as a minimum qualification.
  • 2 years of work experience in customer relations.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Working knowledge of Canvas LMS.
  • Detail-oriented with a focus on accuracy.
  • Strong time management skills and ability to utilize time wisely.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and ability to work well in a team-based environment with minimal supervision.
  • Ability to type accurately and respond to inquiries in a timely manner.
