About the position

The Assistant Community Association Manager will support the Community Manager in managing the homeowner's association at Biltmore Lake, a master-planned community in Candler, NC. This role involves various administrative and operational tasks to ensure the smooth functioning of the community, including managing records, preparing meeting materials, and coordinating with volunteers.

Responsibilities

  • Assist the Community Manager in all aspects of the management of the homeowner's association.
  • Produce and track deed restriction letters based on site inspections and maintain a violation log.
  • Track expiration dates on all agreements for assigned associations and solicit bids for renewal.
  • Assist with the preparation of Board Meeting Packets and Annual Members Meeting Packets.
  • Attend Board Meetings and Annual Members Meetings to assist the Association Manager and record minutes.
  • Draft meeting minutes and manage the approval process of the minutes by the Association Manager and Board Members.
  • Prepare and fulfill New Board Member Packets within two working days of the Annual Members Meeting.
  • Maintain and update corporate records and minutes books for assigned associations.
  • Manage the volunteer process for assigned associations and maintain a data file of volunteers.
  • Set up files for new associations and maintain association files per standard office procedures.
  • Assist the Association Manager with researching resident requests and securing locations and dates for meetings.

Requirements

  • 1 year of apartment, commercial or property management experience required.
  • Previous Homeowner Association (HOA) management experience strongly desired.
  • Proficiency in Microsoft Office products.
  • Strong communication skills.
  • Attention to detail and service orientation.
  • Responsiveness and follow-up skills.
  • Ability to multi-task and handle multiple tasks/situations at one time.
