About the position

The Operational Support Coordinator at AMH plays a crucial role in managing recurring services throughout the property lifecycle and tenant occupancy for our extensive portfolio. This position is designed for a dedicated individual who will engage daily with vendors and collaborate with various internal departments, including Maintenance, HOA, Accounts Payable, and the Utility team. The primary objective of this role is to ensure that all necessary services are efficiently managed and executed, allowing our residents to enjoy a seamless leasing experience. In this role, the Operational Support Coordinator will be responsible for overseeing essential services for each assigned property. This includes managing secondary services such as lawn care, pool maintenance and repair, backflow testing and repair, and snow removal. The coordinator will also oversee winterization data, updating statuses as appropriate once services have been ordered from vendors. A significant part of the job involves generating bulk purchase orders and submitting them along with property lists to vendors to facilitate service orders. Additionally, the coordinator will handle vendor invoices, ensuring that line items are received and that total invoice amounts match. This includes resolving any vendor invoice issues with Accounts Payable and verifying that work has been performed satisfactorily. Maintaining communication with other departments and vendors is essential to assist with questions and requests, identify and resolve points of process failure, and review daily reports to measure existing process effectiveness. The coordinator will also be responsible for reviewing all winterization and de-winterization documentation, providing reports that identify exposure to possible damage in cold weather markets, monitoring weather conditions, and submitting weather delay notifications as necessary.

Responsibilities

Requirements

  • High School diploma or GED required.
  • Minimum of two (2) years of experience working in real estate, legal, procurement, purchasing, vendor management, property management, construction or related environment required.
  • Minimum of two (2) years of administrative or clerical experience managing multiple deadlines required.
  • Prior experience in vendor management is preferred.
  • Proficiency in Microsoft Office (Word, Excel, and Outlook) required.
  • Familiarity with Yardi Voyager and/or CRM Dynamics is preferred.
  • Excellent verbal and written communication, planning, and organizing skills.
  • Strong expectation setting, priority setting, and problem-solving skills.

  • Prior experience in vendor management is preferred.
  • Familiarity with Yardi Voyager and/or CRM Dynamics is preferred.
