About the position

The Operations Accounting Specialist at PFB Custom Homes Group, LLC is responsible for providing essential accounting support to the operations team. This role emphasizes attention to detail and effective communication skills, as the specialist will handle payables and receivables functions, ensuring timely and accurate processing to meet business and customer needs.

Responsibilities

  • Send advance payment notices and invoices to customers to collect payments.
  • Receive, process, and enter customer payments.
  • Process incoming customer credit applications, including performing credit checks.
  • Create specialized invoice packages in conjunction with senior accountant when required by specific jobs.
  • Proactively review outstanding receivables and contact customers for payment.
  • Support sales team by collecting and completing required customer administrative information.
  • Review customer purchase orders and contract terms and conditions.
  • Payable invoice coding and data entry.
  • Coordinate with corporate accounting on weekly electronic payables and monthly check runs.
  • Maintain vendor database, including completion of vendor credit applications, collection of W-9 forms and insurance certificates.
  • Maintain all information related to accounting for projects in our proprietary system.
  • Perform designated month-end accounting tasks as assigned by the corporate accounting group to specified deadlines.
  • Maintain master receivable and payable files to make them accessible to corporate accounting and auditors when requested.
  • Attend weekly production meetings for both manufacturing locations to coordinate project payment requests.
  • Cross train in Operations Administrative Assistant role for vacation backup.
  • Provide administrative support to the executive team as requested.
  • Meet all safety requirements and regulations.
  • Perform all other tasks as assigned by supervisor.

Requirements

  • Associate's degree in Accounting or related field.
  • 3 years of experience in accounting or related roles.
  • Proficient in Microsoft Excel, Outlook, and Word.
  • Strong data entry skills.
  • Excellent communication skills, both written and verbal.
  • Critical thinking and problem-solving skills.
  • Organizational skills and attention to detail.
