About the position

The Operations Admin Coordinator serves as the first point of contact for the company, managing front desk duties and assisting various departments with administrative tasks. This role involves coordinating correspondence, handling phone calls, and supporting company initiatives while ensuring a clean and organized office environment.

Responsibilities

  • Assist department heads with projects such as scanning, filing, proofing documents, and data entry.
  • Coordinate and support company initiatives and events as requested.
  • Answer phones professionally, directing callers appropriately and following up on returned calls.
  • Sanitize the office regularly according to current cleaning protocols.
  • Complete 811 training and assist project management staff with utility locates requests.
  • Help project management staff create, update, track, and send traffic control device reports.
  • Greet visitors and notify staff of their arrivals.
  • Order and stock weekly office and breakroom supplies.
  • Maintain copiers and public printers, ensuring they are supplied and operational.
  • Manage office cleanliness, including taking out trash and cleaning bathrooms.
  • Coordinate locker assignments with Human Resources and ensure proper signage is placed.

Requirements

  • High school diploma or GED.
  • 1 to 3 years of administrative experience in an office environment.
  • Proficiency in Microsoft Office and electronic devices.
  • Strong organizational skills and attention to detail.
  • Excellent communication and social skills.
  • Ability to work independently and in a team environment.
  • Strong problem-solving skills and a desire to create solutions.

  • Experience working under tight deadlines with changing priorities.
