About the position

The Operations Administrative Assistant at Riverside Services plays a crucial role in supporting the daily operations of the Accounting, HR/Payroll, and Office Administration departments. This position involves ensuring smooth processes, assisting with payroll and HR functions, and maintaining office administration tasks, all while working closely with the Office and Finance Manager.

Responsibilities

  • Support the daily operations of the accounting department by processing and verifying customer invoices.
  • Handle customer payments and ensure accuracy in transactions.
  • Assist in the collection of past-due accounts.
  • Serve as a backup to the Accounts Payable Admin during their time off.
  • Facilitate the onboarding process for new hires in HR & Payroll functions.
  • Ensure accurate maintenance of employee records in the ADP Payroll System and Aspire System.
  • Manage payroll-related tasks including e-verify, background checks, and scheduling DOT tests.
  • Track employee time off and address payroll-related queries.
  • Assist with the annual ACA filing.
  • Verify and update contacts and properties in the Aspire System.
  • Manage the submission of Landscape Development contract waivers and close-out documents.
  • Perform general office duties such as answering phones and filing.

Requirements

  • Bachelor's degree strongly preferred or equivalent experience in an Accounting/Payroll/HR environment.
  • Strong problem-solving skills with the ability to resolve issues quickly and effectively.
  • Excellent verbal and written communication skills.
  • Attention to detail in data entry and validation.
  • Ability to prioritize tasks and manage competing demands effectively.
  • Experience with ADP, Aspire, and Acumatica systems.
  • Proficient in MS Office applications (Word, Excel, PowerPoint, and Outlook).
