About the position

The Operations Administrative Assistant position at Chevron is a full-time role based in Pascagoula, Mississippi. This position is crucial for providing comprehensive administrative support to the Operations Business Units. The successful candidate will be responsible for a variety of tasks that ensure the smooth operation of administrative functions within the team. This includes coordinating meetings and appointments, planning events, managing office supplies, and maintaining files. The role also involves handling badging and credentials for visitors and contractors, ensuring that all administrative processes are executed efficiently and effectively. In addition to general administrative duties, the Operations Administrative Assistant will manage complex calendar schedules, ensuring that the right individuals are present for meetings and optimizing the manager's calendar to maximize productivity. This includes gathering necessary pre-reads and coordinating both domestic and international travel plans, which encompasses booking travel, scheduling in-person meetings, and managing expense reports. The assistant will also play a key role in maintaining the team's intranet and SharePoint sites, ensuring that information is organized and accessible. Effective communication and interaction with other leaders and employees are essential, as the assistant will be expected to maintain confidentiality and professionalism at all times. The role requires the preparation of presentations and reports, including data analysis, proofreading, and material development. The assistant will independently complete projects by gathering and summarizing information, demonstrating a high level of attention to detail, especially when proofreading safety-sensitive documents. Collaboration with the Admin Business Partner is also a key aspect of this role, supporting the overall operations of the business units.

Responsibilities

  • Provides general administrative support, coordinating meetings and appointments, planning events and/or catering needs, ordering office supplies, maintaining files, and managing badging/credentials for visitors and contractors.
  • Manages thorough calendar management, ensuring the right people are in each meeting and optimizing the manager's calendar to maximize time efficiency.
  • Coordinates domestic and international travel plans, including booking travel and scheduling in-person meetings in line with planned travel.
  • Assists in managing the intranet site and SharePoint site for the team.
  • Communicates and interacts effectively with other leaders and employees, maintaining a high degree of confidentiality.
  • Assists in preparing presentations or reports, including data analysis, proofreading, distribution, and aiding in material development.
  • Independently completes projects by gathering, organizing, and summarizing information and preparing documents from general instructions.
  • Maintains effective networks throughout Chevron and outside organizations.
  • Demonstrates heightened attention to detail, particularly in proofreading important safety-sensitive documents.
  • Works in conjunction with the Admin Business Partner to support the Operations Business Units.

Requirements

  • High School diploma or equivalent.
  • At least 5 years of administrative or relatable experience.
  • Proficient in Microsoft Office applications including Excel, Word, PowerPoint, Teams, and SharePoint.
  • Effective written and verbal communication skills.
  • Ability to build relationships and align priorities through utilizing interpersonal skills.
  • Ability to produce high-quality work by anticipating deadlines and needs, following through to completion.
