About the position

We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks, providing exceptional customer service, and ensuring efficient office management. This position requires strong computer literacy and excellent communication skills to facilitate smooth interactions with clients and team members.

Responsibilities

  • Manage front office operations, ensuring professionalism in the handling of greeting visitors and inquiries.
  • Provide exceptional support by addressing operational needs and resolving issues promptly.
  • Maintain organized filing systems for documents, ensuring easy retrieval and confidentiality.
  • Assist with bookkeeping tasks using QuickBooks, including invoicing and tracking payments.
  • Proofread documents for accuracy and clarity before distribution.
  • Support the team with clerical duties such as data entry, scheduling appointments, and managing calendars.
  • Computerize records and maintain databases to ensure up-to-date information is readily available.
  • Collaborate with other departments to streamline processes and enhance overall efficiency.

Requirements

  • Proven experience as an Administrative Assistant or in a similar role is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite and QuickBooks.
  • Excellent customer service skills with the ability to communicate effectively both verbally and in writing.
  • Attention to detail with strong proofreading abilities to ensure accuracy in all documentation.
  • Ability to manage multiple tasks efficiently while maintaining a high level of organization.
  • A proactive approach to problem-solving and the ability to work independently as well as part of a team.

  • Valid Driver's License and reliable transportation.

Nice-to-haves

  • Bachelor's degree (Preferred)
  • 2 years of experience in Microsoft Office (Required)
  • 2 years of customer service experience (Required)
