About the position

The Operations Administrative Assistant at H&R Block is responsible for providing essential administrative support within a designated district, focusing on operational and hiring assistance, supply ordering, and general administrative duties. This role serves as a primary contact for technical support, ensuring effective communication between customers and various functional areas within the organization. The position requires a proactive approach to resolving customer requests and concerns, maintaining a high level of customer satisfaction.

Responsibilities

  • Provide seasonal hiring support in the HRB Gateway hiring system.
  • Assist the District Operations Coordinator (DOC) with administrative tasks for district offices.
  • Receive and document communications from offices regarding supplies, facilities, or support needs.
  • Research solutions to problems and escalate issues to DOC, CSM, or DGM as necessary.
  • Review and verify invoices, preparing payments for DOC's approval.
  • Provide technical support to internal and external customers via phone, email, and chat.
  • Interpret customer needs and utilize software solutions to identify resolutions.
  • Document and track customer contacts using software solutions and computer systems.
  • Adapt to changes in user demands and work environment.
  • Maintain technical knowledge of products supported by the department.
  • Attend training related to job performance and duties.

Requirements

  • High school diploma or equivalent.
  • 1-3 years of administrative experience.
  • Customer service experience.
  • Demonstrated decision-making, analytical, and problem-solving skills.
  • Strong organizational, prioritization, and project coordination skills.
  • Effective oral, written, and interpersonal communication skills.
  • Ability to interact with all levels of associates.
  • Ability to communicate clearly and calmly under stress.
  • Some experience or ability to learn Microsoft operating systems and software applications.
