About the position

The Operations & Administrative Coordinator at Made For More Foundation Inc. plays a crucial role in supporting the Executive Director and ensuring the smooth operation of the organization's programs and initiatives. This position is designed for individuals who are passionate about mentorship and community service, particularly in a nonprofit setting focused on empowering at-risk youth and collegiate student-athletes. The coordinator will manage internal processes, oversee external communications, and contribute to the overall mission of the organization by fostering relationships and ensuring operational excellence.

Responsibilities

  • Assist the Executive Director with program planning, execution, and optimizing systems for Made For More Mentorship Academy and UF Athletic Outreach initiatives.
  • Design, develop, and distribute the nonprofit's quarterly newsletters.
  • Manage donor relations, social media strategies, and marketing plans, as well as coordinate the planning and execution of MFM events.
  • Oversee daily operations, including calendar management, scheduling, data entry, and follow-up communications to ensure smooth workflows.
  • Cultivate strong communication with boards, parents, schools, and donors, fostering trust and transparency.
  • Manage grant deliverables, including submitting monthly reimbursement reports for funding partners.
  • Help develop comprehensive Standard Operating Procedures (SOPs), policies, procedures, manuals, and volunteer training programs to ensure operations run efficiently and effectively.
  • Provide additional support to the Executive Director as needed.

Requirements

  • High school diploma or GED required; Associate or Bachelor's Degree preferred.
  • 2 years of administrative experience, preferably in a nonprofit setting.
  • Proficiency in Microsoft Office and Google Workspace.
  • Strong analytical skills and ability to manage large sets of data with attention to detail.
  • Excellent communication skills and ability to foster meaningful relationships.
  • Experience managing federal and local grants, ensuring compliance and achieving programmatic goals.

Nice-to-haves

  • Experience with Canva and QuickBooks.
  • Prior experience as an Executive Assistant or in operations/administration.
