About the position

The Operations Administrator will play a crucial role in supporting the administrative and accounting team in Spokane. This position is responsible for managing various operational tasks to ensure the field team operates efficiently. The ideal candidate will be organized, reliable, and capable of handling multiple responsibilities, including customer setup, payment tracking, and compliance with regulatory requirements.

Responsibilities

  • New customer setup and determination of contractual obligations
  • Regular updating of payment status and aging report
  • Customer follow-up and collection calls, working directly with the owner
  • Account setup for Accounts Payable using QuickBooks
  • Matching invoices with job IDs and sending them out for approval
  • Managing prevailing wage requirements
  • Sending out daily hours report
  • Ensuring the accuracy of time entered
  • Assisting with the onboarding of new hires, ordering supplies, and managing review timelines
  • Regularly updating status and renewals for drug testing and training requirements (ISNET and Veriforce)
  • Staying current with licensing and fuel tax requirements for fleet (DOT and IFTA)
  • Ensuring every unit in the fleet is up to date with the correct documentation
  • Keeping the office organized to ensure that timelines and daily/weekly/monthly responsibilities are completed
  • Assisting the business owner with calendaring and miscellaneous tasks
  • Fielding email inbox to ensure timely responses and task completion

  • Scheduling and coordinating
  • Data entry
  • Knowledge of DOT regulations
  • Understanding of prevailing wage requirements
  • Proficiency with QuickBooks
  • Experience in the construction industry

Nice-to-haves

  • Experience in construction or a related field preferred
  • Computer literacy with the ability to learn new systems
  • Exposure to QuickBooks accounting software
