About the position

The Operations Analyst plays a crucial role in the Hematology-Oncology Division and the Endocrinology and Metabolism Division at Zuckerberg San Francisco General (ZSFG) Hospital. This position requires a seasoned and experienced administrative operations professional who will manage, plan, and administer various operational aspects including human resources, clinical operations, finance, education, facilities, and technology. The incumbent will report directly to the Division Manager and will be responsible for both short-term and long-term planning for the division. The role demands good judgment in selecting appropriate methods and techniques to obtain effective solutions to operational challenges. As part of the administrative core, the Operations Analyst will coordinate daily operations, which include onboarding and off-boarding of faculty, staff, and trainees, ensuring compliance with UCSF and SFDPH regulations, managing procurement processes, and overseeing facilities and IT management. The position also involves engagement and communication with various departments, including the Office of Sponsored Research, Research Finance, HR, and IT Departments. Initially, the role will require mostly on-site work, transitioning to a hybrid model after training. The Operations Analyst will contribute to the overall mission of the divisions, which focus on providing comprehensive, compassionate care to patients with cancer and blood disorders, as well as specialty care in diabetes and general endocrinology. The divisions are committed to excellence in learning, teaching, research, and patient care, and they operate with a significant annual budget that supports a diverse team of professionals. Responsibilities

  • Manage and administer operations for the Hematology-Oncology and Endocrinology and Metabolism Divisions.
  • Coordinate daily operations including onboarding and off-boarding of faculty, staff, and trainees.
  • Ensure compliance with UCSF and SFDPH rules and regulations.
  • Oversee procurement processes and manage facilities and IT operations.
  • Engage and communicate with the Office of Sponsored Research, Research Finance, HR, and IT Departments.
  • Perform short- and long-term planning for the division.
  • Utilize good judgment in selecting methods and techniques for obtaining solutions.

Requirements

  • BA/BS degree in a related field and 3+ years of experience in administrative analysis or operations management.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Thorough knowledge of financial analysis and reporting techniques, and human resources policies and procedures.
  • Knowledge of various administrative operational activities such as event planning, fundraising processes, risk management, and contracts and grants regulations.
  • Ability to operate effectively in a changing organizational and technological environment.
  • Strong interpersonal skills including verbal and written communication, active listening, and critical thinking.
  • Ability to use discretion and maintain confidentiality.
