About the position

The Operations and Budget Coordinator at Florida Atlantic University (FAU) is responsible for managing budget reports, tracking account balances, and providing administrative support to the research programs team. This role involves assisting with budget amendments, expense reports, and maintaining records for the unit's research lab facilities. The coordinator will also perform HR functions, organize events, and manage website content to enhance departmental visibility and engagement.

Responsibilities

  • Perform budget reports and track account balances.
  • Assist the Associate Director/Director of Research Programs with budget amendments and accounting adjustments.
  • Provide administrative support to the Associate Director/Director of Research Programs and the Executive Director.
  • Submit expense reports, spend authorizations, and requisitions for purchasing.
  • Answer phone calls, schedule meetings, and attend to guests/students/office/lab issues.
  • Maintain proper records of important documents.
  • Support the unit's research lab facilities, including orders, repairs, and inventory management.
  • Perform HR functions including job requisitions, recruiting, onboarding, and student stipend payments.
  • Cross-train and serve as a backup to the Office Administrator or other team members.
  • Organize and facilitate unit events and faculty meetings, including event planning and budget management.
  • Assist with research programs, grant tracking, and attend research trainings as needed.
  • Enter tuition waivers for students in accordance with university policy.
  • Assist with writing and editing newsletter material and managing the unit's website content.

Requirements

  • Master's degree from an accredited institution in an appropriate area of specialization, or a bachelor's degree with two years of relevant experience.
  • Experience in finance, accounting, or business is preferred.
  • Experience in research administration is preferred.
  • Experience using Workday is preferred.
