About the position

The Operations and Contracts Specialist will be a key member of the Montana operations team at The Nature Conservancy, responsible for coordinating various functional activities including operations support, procurement, meetings management, and training. This role involves managing inventory, insurance, leases, contracts, grants, and records management, while ensuring alignment with the program's strategic priorities. The Specialist will also handle administrative tasks across Information Systems, Human Resources, and Finance, contributing to the overall effectiveness and efficiency of the team.

Responsibilities

  • Act as the Certified Contracts Specialist for the Montana program.
  • Coordinate inventory, insurance, office leases, and records management.
  • Handle financial responsibilities including purchasing, processing invoices, and assisting with budget preparation.
  • Work within the scope of the program's strategic goals.
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
  • Coordinate projects with several variables, working within a defined timeline and budget.
  • Demonstrate sensitivity in handling confidential information.
  • Perform non-routine analysis, research, and follow-through.
  • Ensure compliance with Conservancy policies and procedures, and external requirements.
  • Act as a resource to others to solve problems and act in supervisor's stead when instructed.
  • Supervise administrative and/or volunteer staff, including training and professional development.
  • Provide input through project teams for the improvement of existing programs.
  • Travel and work flexible hours as needed.

Requirements

  • Bachelor's degree and 2 years related experience or equivalent combination.
  • Experience coordinating administrative processes.
  • Experience using organizational techniques to provide accurate results.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.
