About the position

The Operations and Contracts Specialist at The Nature Conservancy will be an integral part of the Montana operations team, focusing on coordinating various functional activities such as operations support, procurement, meetings management, and training. This role involves managing inventory, insurance, leases, contracts, grants, and records management, while also ensuring compliance with policies and procedures. The Specialist will implement strategies to meet program priorities and will be responsible for logistical planning for events, financial responsibilities, and administrative tasks across multiple departments.

Responsibilities

  • Act as the Certified Contracts Specialist for the Montana program.
  • Coordinate inventory, insurance, office leases, and records management.
  • Handle financial responsibilities including purchasing, processing invoices, and assisting with budget preparation.
  • Work within the scope of the program's strategic goals.
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
  • Coordinate projects with several variables, working within a defined timeline and budget.
  • Demonstrate sensitivity in handling confidential information.
  • Perform non-routine analysis, research, and follow-through.
  • Ensure compliance with Conservancy policies and procedures, and external requirements.
  • Act as a resource to others to solve problems and act in supervisor's stead when instructed.
  • Supervise administrative and/or volunteer staff, including training and professional development.
  • Provide input through project teams for the improvement of existing programs.
  • Travel and work flexible hours as needed.

Requirements

  • Bachelor's degree and 2 years related experience or equivalent combination.
  • Experience coordinating administrative processes.
  • Experience using organizational techniques to provide accurate results.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.

Nice-to-haves

  • Experience writing and reviewing legal agreements.
  • Experience with property, buildings, and fleet management.
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
  • Experience analyzing information for the purpose of coordinating and planning activities and solving problems.
