About the position

The Operation and Events Coordinator will ensure the successful execution of in-person, hybrid, and virtual events while managing the smooth operation of the virtual office. This role combines office management and program responsibilities, providing excellent customer service as the first point of contact for stakeholders. The position operates in a fast-paced, team-oriented environment focused on member service, supporting the president in fulfilling the organization's mission and daily operations.

Responsibilities

  • Ensure successful execution of in-person, hybrid, and virtual events.
  • Manage the smooth operation of the virtual office by implementing systems to support team goals.
  • Provide excellent customer service to ADVIS members and the general public via various communication channels.
  • Monitor and manage office supplies and equipment.
  • Respond to inquiries and requests, directing them to appropriate staff.
  • Organize and oversee staff meetings and retreat agendas.
  • Coordinate and schedule meetings, including arranging rooms and equipment.
  • Handle mail and manage accounts payable and receivable.
  • Develop and prepare communications and documents, including letters and marketing materials.
  • Assist with website maintenance and content management.
  • Support external marketing efforts on social media platforms.
  • Work with the Director of Programming to implement professional development events.
  • Assist in all aspects of event planning and execution, including logistics and post-event activities.

Requirements

  • Bachelor's Degree required.
  • Ability to work in a fast-paced environment and handle multiple tasks.
  • Strong customer service skills with effective communication abilities.
  • Ability to maintain confidentiality and demonstrate strong decision-making skills.
  • Proficiency in various computer and web-based applications.
