About the position

The Events and Operations Coordinator will support a University in Cambridge by managing various operational tasks and coordinating events. This temporary role requires strong organizational skills and the ability to provide excellent customer service while handling multiple responsibilities related to event management and operational support.

Responsibilities

  • Answer help desk/emergency phone and provide information or redirect calls as necessary.
  • Serve as the point of contact for customer walk-ins and emails.
  • Coordinate work order database, including prioritizing, quality control, work assignment, and work order close-out.
  • Process requests for building services, ensuring they are received, processed, assigned, and closed out by the operations center.
  • Run work order reports to track outstanding orders and follow up on their status for completion.
  • Work with Room Reservations in the Event Management System, especially during peak times.
  • Coordinate operational events, working closely with operations teams to ensure seamless execution.
  • Manage student events and conferences, assisting students in planning and organizing.
  • Track large events, produce weekly agendas, and attend related meetings.
  • Process vendor invoices, credit vouchers, and P-Card transactions for the department.
  • Order supplies as needed, reconcile budgets, and assist with maintaining financial documentation.

Requirements

  • Comprehensive knowledge of Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
  • Working knowledge of audio-visual hardware, software applications, and video conference technologies.
  • Excellent written and verbal communication and interpersonal skills.
  • Ability to lift and move loads weighing in excess of 40 pounds.
  • Willingness to work evening hours and/or weekends or holidays as needed.

Benefits

  • Competitive hourly pay of $25 - $28 per hour.
