About the position

The Operations and Facilities Director (OFD) at AltaSea will oversee the management of the campus and its facilities, ensuring effective operations, tenant engagement, and maintenance. This role involves supervising the Facilities Manager and the Senior Manager of Operations, coordinating infrastructure maintenance, and ensuring compliance with health and safety policies. The OFD will also engage in marketing properties, managing renovations, and maintaining a positive atmosphere on-site.

Responsibilities

  • Provide expertise in the initial planning stages of renovations and maintenance of facilities by collaborating with leadership and other involved parties.
  • Oversee contract negotiations and ensure adherence by all parties in collaboration with the Project Manager(s).
  • Actively manage Project Manager(s) and third-party contractors to ensure timely completion of proposals, bids, and contracts.
  • Supervise contractors and subcontractors to ensure quality standards and adherence to specifications.
  • Collaborate with leadership and contractors to resolve problems related to work procedures and construction issues.
  • Interface with governmental agencies and represent AltaSea at public meetings.
  • Ensure personnel and tenants are trained to adhere to facilities and building policies, including health and safety procedures.
  • Manage project close-out and maintain relevant documentation.
  • Conduct regular inspections of facilities and implement preventive maintenance improvements.
  • Manage tenant improvements as required by sublease agreements.
  • Inspect properties during tenant transitions to ensure compliance with lease expectations.
  • Support the design and implementation of events and marketing efforts for properties.
  • Supervise and guide the Facilities Manager in their responsibilities.
  • Ensure all facilities and equipment are well-maintained and in optimal working condition.
  • Manage work orders for repairs and maintenance of facilities and equipment.
  • Conduct light maintenance projects as needed.
  • Understand and develop building control systems and provide training to staff and tenants.
  • Coordinate procurement of furniture and equipment and direct related contract vendors.
  • Ensure safety requirements are communicated and implemented effectively.
  • Keep management informed of facility activities and significant problems.
  • Manage incoming/outgoing mail and support fundraising campaigns.
  • Manage janitorial and security vendors and be the primary emergency contact.
  • Support all events and site visits at the campus.

Requirements

  • Excellent verbal and written communication skills; ability to speak Spanish preferred.
  • Thorough understanding of engineering, architectural, and construction drawings, contracts, and regulations.
  • Proficient in Microsoft Office Suite or related software.
  • Ability to remain flexible and efficient in a fast-paced environment.
  • Strong project management skills with the ability to manage multiple deadlines.
  • Ability to traverse and inspect job sites in various weather conditions and exposure to construction site dangers.
  • On-call availability to address emergencies and delays.
  • 5+ years of related experience or a bachelor's degree in business administration or related field with an emphasis in management.
  • Proficient knowledge of real estate industry and property management principles.
  • Excellent negotiation, problem-solving, and people skills.
  • Availability to work extended hours as needed.
