About the position

The Operations and Marketing Coordinator position at the California Institute of the Arts involves assisting the Director of Operations, Administration, and Finance with daily administrative tasks and special projects. The role requires maintaining professional relationships within the CalArts community, supporting students in registration and learning management systems, and coordinating marketing efforts, including social media campaigns. The coordinator will also handle various operational duties to ensure the smooth functioning of the Extended Studies Office.

Responsibilities

  • Maintain professional relationships with students, staff, faculty, and the CalArts community.
  • Respond to inquiries regarding Extended Studies programs via email, phone, and in-person.
  • Ensure the successful operation of the Extended Studies Office by performing research, data input, scheduling, and organizing files.
  • Support students with issues related to registration and learning management systems.
  • Interface with HR for hiring and onboarding of temporary and student positions.
  • Serve as the Designated School Official for Extended Studies residential programs.
  • Provide administrative support in preparing academic documents for approval.
  • Coordinate with the Finance Office for invoices and payments.
  • Generate and submit check requests, travel expense reports, and credit card statements.
  • Assist with market research and develop marketing materials with designers and content strategists.
  • Coordinate social media and direct mail marketing campaigns and analyze their effectiveness.
  • Provide assistance and oversight on various operations and special projects.

Requirements

  • Bachelor's Degree or equivalent experience.
  • Administrative work experience, preferably in an academic setting.
  • Experience in customer service, production, and event planning.
  • Experience coordinating social media and direct marketing campaigns.
  • Project coordination or project management experience preferred.
  • Working knowledge of student registration and learning management systems preferred.
  • Background in visual and/or performing arts preferred.
  • Spoken and written Spanish language skills preferred.

Nice-to-haves

  • Continuing education certifications preferred.
  • Experience in academic administrative roles.
