About the position

The Event Operations Assistant plays a vital role in supporting the successful execution of events and performances at The Center for Arts in Natick (TCAN). This position will report directly to the Theater Operations Manager and collaborate with staff members and volunteers to ensure seamless event operations. The ideal candidate is detail-oriented, organized, and enthusiastic about contributing to the arts community. The assistant will be involved in various aspects of event coordination, venue preparation, concessions management, equipment maintenance, and ensuring facility cleanliness and safety. This role requires a proactive approach to problem-solving and a commitment to providing an excellent experience for both artists and attendees.

Responsibilities

  • Assist in coordinating logistics and operations for events and performances, including setup, scheduling, and breakdown.
  • Collaborate with internal teams, artists, vendors, and volunteers to ensure all event requirements are met.
  • Manage event timelines and schedules to ensure events and programs run smoothly.
  • Prepare the venue spaces in advance of events, including arranging seating and clearing the space as needed.
  • Assist with artist load-in and day-of-show setup of the green room and common areas.
  • Procure food and hospitality items specified in artists' contracts (riders) for their comfort and satisfaction, prepared according to their preferences.
  • Stock and maintain inventory of concessions at the refreshments stand.
  • Request equipment and supplies to maintain inventory and ensure availability of required items.
  • Assist in maintaining stage, audio, lighting, and refrigeration equipment.
  • Facilitate communication between hired maintenance suppliers, contractors, and the Theater Operations Manager.
  • Conduct facility walkthroughs and collaborate with the Theater Operations Manager to identify building maintenance needs.
  • Coordinate waste and snow removal as needed.
  • Work with building cleaning services to ensure a clean facility.
  • Adhere to health and safety protocols during events to ensure the well-being of all attendees and participants.
  • Provide assistance with technical production aspects such as audio engineering and lighting.
  • Assist in setting up and testing audio and lighting equipment for events.
  • Collaborate closely with the Theater Operations Manager and other team members to ensure efficient event execution.

Requirements

  • High school diploma or equivalent; relevant coursework or certifications are a plus.
  • Strong organizational skills and attention to detail.
  • Effective communication and interpersonal skills.
  • Ability to lift up to 50 lbs.
  • Experience with technical production aspects such as audio engineering and lighting.
  • Willingness to work evenings and weekends as required by event schedules.
  • Flexibility with scheduling to accommodate varying event demands.
  • Ability to work collaboratively in a team environment.
