About the position

As an Operations Assistant at the International Institute of St. Louis, you will play a crucial role in ensuring the smooth operations of our organization. This full-time position offers a predictable Monday to Friday schedule from 9 am to 5 pm, allowing you to engage with various tasks that contribute to the overall efficiency of our operations. You will be an integral part of our team, supporting different departments and tackling new challenges that arise in a fast-paced environment. Your problem-solving skills and attention to detail will be essential as you navigate the diverse responsibilities of this role. In your day-to-day activities, you will assist the Operations Manager with maintenance issues around the campus, take inventory and order office supplies as needed, and review daily work orders and conference room set-up requests. You will also perform various housekeeping and grounds duties, check and clean exterior grounds, and may use agency vehicles for pickups and deliveries. Additionally, you will serve as a backup receptionist, help distribute internal mail, and set up meeting rooms according to provided layouts. Coordination with the cleaning team to ensure rooms are cleaned after events will also be part of your responsibilities. This dynamic role will keep you engaged and challenged, making every day unique.

Responsibilities

  • Assisting the Operations Manager with maintenance issues around campus.
  • Taking inventory and ordering office supplies as needed.
  • Reviewing daily work order and conference room set-up requests.
  • Performing various housekeeping and grounds duties.
  • Checking and cleaning exterior grounds.
  • Using agency vehicles for pickups and deliveries as needed.
  • Serving as a backup receptionist.
  • Helping distribute mail internally and collecting internal mail to be sent out.
  • Setting up meeting rooms according to the layouts provided for each meeting.
  • Coordinating with the cleaning team to have rooms cleaned after each event.
  • Performing other appropriate duties as required.

  • High school diploma or equivalent.
  • Ability to perform the physical requirement of the job, including lifting a minimum of 50 pounds, standing, walking, bending, and the use of ladders.
