The coordinator is responsible for managing various operational tasks, including the receipt and recording of ill calls, managing the PTO hotline, and providing real-time updates to Kronos for inpatient staffing. Additionally, the role includes handling after-hours formula requests and coordinating agency interpreters during non-business hours. The coordinator also manages the Patient Escort Tracking system and serves as a resource for various operational needs. In addition to operational coordination, the Operations Center Coordinator provides administrative assistance and support for analysis functions within the department. This may involve running reports, assisting in the development of presentations, and maintaining effective communication processes across departments. The coordinator is expected to keep key leadership and administrative staff informed of developments and prioritize multiple requests for information. Data management is another critical aspect of the role, which includes maintaining the integrity of records, auditing data for accuracy, and generating reports as needed. The coordinator may also assist in automating processes and recommending changes to improve operations. Overall, the Operations Center Coordinator is integral to the daily operations of the hospital, ensuring that all processes run efficiently and effectively, while also supporting the needs of patients and staff alike.

Responsibilities

  • Coordination of patients and visitors within the unit to ensure operations run efficiently.
  • Receipt, recording, and notification of ill calls.
  • Management of PTO Hotline.
  • Real-time updates to Kronos for inpatient staffing.
  • Receipt, recording, and dispatching of after-hours formula requests.
  • Receipt & request for agency interpreters during non-business hours of Interpreter Services.
  • Dispatch management of Patient Escort Tracking system.
  • Provide administrative assistance and support of the analysis function within a department and/or division.
  • Run bimonthly, annual and/or ad-hoc reports analysis.
  • Assist in the development of presentations/materials.
  • Develop and maintain efficient internal communication processes to support the activities of the department/program.
  • Openly communicate across many departments regarding clinical, patient care, physical and/or material resources.
  • Keep key leadership, administrative staff and other stakeholders fully informed of projected and actual developments in a timely manner.
  • Prioritize multiple requests for information.
  • Assemble and distribute material for project communications if necessary.
  • Maintain, monitor, organize, input, and/or ensure integrity of data and/or records.
  • Audit data as necessary to ensure accuracy.
  • Generate reports as needed and disseminate to appropriate individuals.
  • Improve/maintain processes, operations, and/or performance using available data or assist in this process.
  • Provide data collection, input, mining, and/or analysis.
  • Respond to, process, and/or track all related requests.
  • Assist in automating existing processes or recommend changes to management.
  • Monitor and respond to situations that affect daily operations.
  • Provide input in the development, maintenance and oversight of program policies and procedures.
  • Provide input on planning, evaluating and/or implementing programs and/or procedures.

Requirements

  • High school diploma or equivalent.
