About the position

The Expeditor Coordinator for Inserting at RR Donnelley plays a crucial role in supporting Production Supervision by preparing orders using EPIC and Infoshare for all Inserting equipment. This position is responsible for expediting work between various processes within the department, ensuring that machines are stocked with necessary mail supplies to enhance productivity and guarantee on-time delivery. The coordinator performs a verification process for customer-specific jobs on the Inserting machine computer, which includes managing manufacturing orders and processes under the guidance of supervision. This involves utilizing information from manufacturing specifications and department schedules to optimize workflow and maintain accuracy across the department. In addition to these responsibilities, the Expeditor Coordinator assists Supervision and Inserter Operators with workflow management, which includes reversing products when necessary, creating copies of manufacturing specifications, and physically gathering essential materials such as actual statements, trays, and tray tags for job preparation. The coordinator ensures that only materials and components relevant to the current job are present in the Inserting area, removing all other items to maintain organization and efficiency. The role also involves organizing and preparing workbooks for delivery to subsequent processes, verifying and accounting for all non-mailables, pulls, and the completion of jobs, copies, or batches. The coordinator is tasked with coordinating the handling and expediting of non-mailable pieces, such as samples, specials, invalids, no-mails, foreigns, and damaged items, to ensure timely delivery. They perform quality checks on the finished product, ensuring proper labeling and separation of each copy and batch according to established Work Instructions. Maintaining a clean and safe work environment is also a key responsibility of this position. Additionally, the Expeditor Coordinator is expected to learn the responsibilities of the Shift Coordinator 2 (PC-Production Coordinator) to provide backup support when needed and may be assigned other duties as required.

Responsibilities

  • Prepare orders using EPIC and Infoshare for all Inserting equipment.
  • Expedite work between various processes within the department.
  • Keep machines stocked with mail supplies to improve productivity and ensure on-time delivery.
  • Perform verification process for customer-specific jobs on Inserting machine computer.
  • Adjust manufacturing orders and processes under the direction of supervision.
  • Assist Supervision and Inserter Operators with workflow to/from machines.
  • Reverse product when needed and create copies of manufacturing specifications.
  • Physically gather necessary materials for job preparation.
  • Ensure only material/components for current job are in the Inserting area.
  • Organize and prepare the workbook for delivery to the next process.
  • Verify and account for all non-mailables, pulls, and job completion.
  • Coordinate handling and expediting of non-mailable pieces to the next process.
  • Perform quality checks for proper labeling and separation of each copy and batch.
  • Organize the work area to maintain a safe and clean environment.
  • Learn responsibilities of the Shift Coordinator 2 to provide backup when needed.

Requirements

  • Six months related work experience within the print and mail industry.
  • Knowledge of Inserter machine computer functions, including opening and closing files and reading feeder setup.
  • Previous experience as an Inserter Operator preferred.
  • Intermediate computer skills, including familiarity with Microsoft Office and Windows 10.
  • Excellent communication skills, both oral and written.
  • Exceptional interpersonal skills with a customer service focus.
  • Superior prioritizing and organizational abilities, maintaining a clean environment.
  • Focused attention to detail, maintaining accuracy with inventory levels and staging work.
  • Ability to adapt quickly in a fast-paced environment with changing workflows.
  • Ability to work with limited supervision.
  • Basic math skills including addition, subtraction, multiplication, division, percentages, fractions, and decimals.
