About the position

The Operations & Compliance Specialist at Integrated Aquatic Management LLC is a part-time role focused on billing, record-keeping, and compliance management. The position requires effective communication with various stakeholders and proficiency in QuickBooks and Google applications. The ideal candidate will be detail-oriented and self-motivated, capable of working independently while also collaborating with team members.

Responsibilities

  • Bill customers 1-2 times weekly (training provided).
  • Track and follow-up on accounts receivable weekly.
  • Maintain records for insurance and regulatory compliance.
  • Submit tax reports, including monthly sales tax.
  • Handle compliance documents like 1099s and Certificates of Insurance (COIs).
  • Ensure timely compliance with orders and track license renewals.
  • File vehicle maintenance records and annual mileage.
  • Distribute vehicle insurance cards.
  • File receipts and maintain employee folders.
  • Organize office files.

Requirements

  • Familiarity with QuickBooks is essential.
  • Experience with Google Drive, Google Calendar, and Google Docs is required.
  • 2 years of experience in QuickBooks.
  • 2 years of organizational skills experience.
  • 1 year of invoicing experience.
