About the position

The Operations Coordinator 1 at GE Healthcare is responsible for ensuring the seamless execution of service contract processes related to customer service contracts. This role involves the installation of base data entry and maintaining data quality for the assigned area. The coordinator will ensure timely and accurate billing for both contract and non-contract services, while also safeguarding the quality and integrity of customer contracts as they are entered into the system. Acting as a liaison between Service Sales, Field Service, and customers, the Operations Coordinator will work to meet commitments and resolve any issues that arise concerning invoicing and contract administration. This position is remote but requires the candidate to provide onsite customer support, necessitating residence in the Chicago, IL area. The coordinator will drive the overall execution of customer service contract loading into all applicable processes, including managing additions, deletions, and modifications to existing contracts. Responsibilities also include maintaining the accuracy of the install database by supporting the field team and external customers through various communication channels. The role demands effective management and prioritization of various projects with minimal supervision, as well as timely resolution of customer invoicing disputes in collaboration with Service Sales and field service teams. Adherence to the GEHC Quality Manual and compliance with applicable laws and regulations is crucial. The Operations Coordinator will also be responsible for identifying and reporting any quality or compliance concerns, ensuring that corrective actions are taken as necessary. Continuous improvement of related processes and work instructions is expected to maintain standardization and simplification within the Quality Management System.

Responsibilities

  • Drive the overall execution of the GEHC customer service contract loading into all applicable processes including additions, deletions, and modifications to existing contracts.
  • Responsible for timely and accurate billing of customers for contract and non-contract services.
  • Work within all related systems Legacy and Support Central to manage and complete all work.
  • Handle all types of work submitted into the department whether multi-vendor or core GE product based offerings.
  • Maintain install database accuracy by supporting field team and external customers via phone and email.
  • Work closely with field service sales and service, service marketing, and commercial solutions to resolve technical and process-related issues.
  • Effectively manage and prioritize various projects with minimal supervision.
  • Provide support for timely resolution of customer invoicing disputes in coordination with Service Sales and field service teams.
  • Comply with the GEHC Quality Manual, Quality Management System, Quality Management Policy, Quality Goals, and applicable laws and regulations.
  • Complete all planned Quality & Compliance training within the defined deadlines.
  • Identify and report any quality or compliance concerns and take immediate corrective action as required.
  • Knowledge and understanding of all Global Privacy and Anti-Competition Policies and operate within them to ensure compliance with company policy and laws.
  • Ownership of contract entry quality to ensure accuracy and configuration integrity.
  • Drive continuous improvement on all related processes, work instructions, and procedures.

Requirements

  • Associate degree in Business Administration, Finance, Marketing or related discipline and minimum one year of customer service experience; or a High School diploma/GED and five or more years of customer service experience.
  • High proficiency in Microsoft Office Suite products (e.g., Word, Outlook, Excel, Access).
  • Minimum two years' experience working with Microsoft Excel.
  • Ability to communicate using local language.
  • Strong focus on customer care and satisfaction.
  • Demonstrated ability to work under pressure and to meet deadlines and commitments.
