About the position

We are currently seeking a full-time Operations Coordinator for our Primary Care office located in Madison County, Indiana. This position plays a crucial role in assisting the Practice Manager with the management of operations within the clinic. The Operations Coordinator will be responsible for a variety of tasks that support the overall functioning of the practice, ensuring that both staff and patients receive the highest level of service and care. The Operations Coordinator will work closely with the Practice Manager to market and promote program services to potential referral sources, maintaining positive relationships with these sources. This role involves obtaining data and preparing recommendations regarding potential referral sources and clients, as well as participating in market research to determine area and patient needs. The Coordinator will also provide support on the floor, addressing patient needs as part of the support staff or clinical team. In addition to these responsibilities, the Operations Coordinator will assist in evaluating the effectiveness of services offered by the clinic. This includes developing and maintaining professional communication with all levels of staff, patients, and referral sources, ensuring that all interactions are conducted with dignity, respect, and courtesy. The Coordinator will help resolve any concerns or problems related to communication and trust within the team. The role also involves assisting the Practice Manager with various administrative tasks, including monitoring provider schedules, completing staff performance evaluations, and addressing complaints. The Operations Coordinator will monitor staff compliance with productivity standards and documentation expectations, ensuring that all procedures are completed accurately and in a timely manner. Furthermore, the Coordinator will assist in maintaining compliance with the program requirements for Federally Qualified Health Centers, ensuring that the clinic meets all necessary standards and regulations. Overall, this position is essential for the smooth operation of the clinic and the delivery of high-quality patient care.

Responsibilities

  • Assist in marketing and promoting program services to potential referral sources in coordination with the Practice Manager.
  • Maintain positive relationships with referral sources.
  • Obtain data and prepare recommendations regarding potential referral sources and clients.
  • Participate in market research to determine area and patient needs.
  • Provide support on the floor to address patient needs as support staff and/or clinical.
  • Assist in evaluating the effectiveness of services offered by the clinic.
  • Develop and maintain communications in a cooperative and professional manner with all levels of staff, patients, and referral sources.
  • Communicate openly, honestly, and constructively with all stakeholders.
  • Treat all employees, patients, and referral staff with dignity, respect, and courtesy.
  • Resolve concerns and problems concerning communication, trust, and respect.
  • Assist the Practice Manager in the coordination and growth of clinics.
  • Monitor provider schedules and complete staff performance evaluations.
  • Address complaints and resolve problems as they arise.
  • Monitor and report staff compliance with productivity standards and documentation expectations.
  • Assist in monitoring scheduling, including no-show rates.
  • Ensure compliance with the nineteen program requirements for Federally Qualified Health Centers.
  • Complete all other essential administrative tasks as assigned by the Practice Manager.

Requirements

  • MA or LPN certification required.
  • Two (2) years related experience and/or training; or equivalent combination of education and experience.
  • A valid driver's license, reliable transportation, proof of auto insurance, and a driving record meeting Meridian's driving policy.
