About the position

The Operations Coordinator and Administrative Assistant will support the Enterprise Policy and Resources Directorate under the Deputy Assistant Secretary of the Army for Defense Exports and Cooperation (DASA DE&C). This role involves managing administrative tasks, coordinating operations, and ensuring effective communication within the directorate.

Responsibilities

  • Act as the administrative assistant for the Director of Enterprise Policy and Resources, managing the Director's calendar and official correspondence.
  • Prepare, review, and manage all correspondence for the Strategy Directorate.
  • Receive, monitor, assign, and manage all taskings in the HQDA Task Management Tracking System (TMT).
  • Ensure timely acceptance and assignment of taskings to action officers.
  • Follow up on taskings to ensure replies are completed by the required suspense date.
  • Close out actions upon signature of Senior Officials and distribute accordingly.
  • Assist in assembling hard-copy briefing books and presentations for engagements.
  • Coordinate and reserve meeting rooms, MS Teams meetings, and teleconferences, ensuring audio-visual equipment is set up for in-person meetings.
  • Assist with managing visitors to DASA DE&C, including arranging pick-up times and escorting visitors.
  • Maintain the Enterprise Policy and Resources Directorate's SharePoint site, ensuring content is updated and accurate.
  • Work with the DASA DE&C Executive Officer on actions involving the directorate, providing technical assistance to action officers.
  • Review completed actions and correspondence for proper format and completeness.

Requirements

  • Must have an active Security Clearance (Secret level).
  • Minimum of a 4-year degree (BS or BA).
  • Good interpersonal skills, proactive, and able to work independently and as part of a team.
  • Ability to quickly learn new processes and adapt to new directions.
  • Expert in the MS Office Suite (MS Teams, Word, Excel, PowerPoint, Access, Outlook) and SharePoint.
  • Previous experience as a government contractor, government employee, intern, or prior military service.
  • Ability to multi-task and manage multiple administrative tasks simultaneously.
  • Familiarity with DoD and Army correspondence formats and processes.
  • Previous experience with TMT, CATMS, or a similar automated task management tracking system.
  • Experience with Defense Travel System (DTS) is highly recommended.
