About the position

The Operations Coordinator will oversee operations for the Adult SMI Program at JFCS' East Valley Healthcare Center & MRZ Healthcare Centers. This role involves managing computer functions related to client insurance information, coordinating the intake process, and assisting in the optimal use of the computer system for billing and financial reporting. The coordinator will also support the Director in maintaining efficient office operations.

Responsibilities

  • Coordinates and supervises the gathering of client insurance information and eligibility verification for intakes and daily appointments.
  • Coordinates case transfers to other sites within the agency and to other agencies/networks.
  • Maintains EHR Scheduling Templates.
  • Researches and tracks all reports sent to Operations, including Kept Appointments, PCP No Information, PCP Failed Faxes, and Outreach Screening.
  • Monitors Enrollments and Assessments for completeness to ensure timely submission to funding sources.
  • Ensures that PHI log is completed appropriately and inputs data into the log and chart.
  • Coordinates the intake process, ensuring compliance with contract requirements and Operations policy.
  • Sends and receives referrals, coordinates with Case Managers for outside services, and ensures timely scanning of documents into the chart.
  • Tracks supervision logs and assists staff with client check-in errors.
  • Assists in the optimal use of the computer system for billing and reporting purposes.
  • Facilitates oversight of purchasing/supplies, maintains phone lists, and tracks new hires.
  • Acts as a liaison to Clinical Directors, Clinical Team, and Operations Manager.

Requirements

  • High School diploma or equivalent, plus additional courses in computer science or records management.
  • One or more years of computerized medical office experience.
  • Bilingual in Spanish/English highly preferred.
  • Previous work experience in a position requiring significant public contact, preferably in a medical office.
  • Excellent office organization skills.
  • Proactive solution-oriented thinker.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Attention to detail.
  • Experience in effectively handling multiple projects requiring exceptional organizational skills.
  • Ability to handle stressful situations.
  • Prior Behavioral Health experience preferred.
  • Good supervisory skills and computer experience with NextGen and Microsoft Office preferred.
  • Ability to obtain an Arizona DPS Level 1 Fingerprint Clearance Card without restriction(s).

Nice-to-haves

  • Bachelor's degree in business, management or computer science is a plus and could replace the required experience.
