About the position

The Operations Coordinator & Assistant to the Executive Director at Fairfield University's Bellarmine Campus plays a crucial role in providing administrative support to the Dean/Executive Director and other deans. This position is essential for ensuring smooth operations within the campus, which focuses on serving underrepresented students from lower-income backgrounds. The coordinator will manage communications, oversee billing, coordinate meetings, and serve as a liaison with various university departments, all while supporting the mission of Jesuit higher education.

Responsibilities

  • Provides administrative support to the Dean/Executive Director and other deans.
  • Prioritizes incoming information and prepares outgoing communications.
  • Oversees all billing in the dean's office and interacts with vendors.
  • Serves Bellarmine's advisory board by organizing meetings and preparing materials.
  • Coordinates campus staff meetings and serves as the primary liaison to university facilities offices.
  • Provides substantive service at school events, including admissions events and graduation.
  • Maintains calendars, schedules appointments, and reserves meeting rooms.
  • Collaborates with the Office of Marketing and Communications to ensure accurate media platforms.
  • Communicates regularly with University administrators, faculty, and staff to resolve issues.

Requirements

  • Bachelor's or Associate's degree and at least five years of related experience required.
  • Experience in higher education strongly preferred.
  • Demonstrated ability to solve practical problems and manage multiple projects.
  • Excellent verbal and written communication and customer service skills.
  • Superior attention to detail and organization.
  • Intermediate skills in MS Word, Excel, and PowerPoint.
