About the position

The Operations Coordinator position is a vital role that provides various clerical, administrative, and operational functions to support the day-to-day activities of the Keaau location. This position is essential for ensuring smooth operations and excellent customer service. The Operations Coordinator will be responsible for answering telephone calls from customers, shippers, sales representatives, and managers, processing these calls, or directing them to the appropriate party. Additionally, the role involves taking sales orders, both internal and external, and entering these orders into the order processing system. The Operations Coordinator will also produce invoices, bill of ladings, and other documents related to customer orders and inventory transfers shipped to other branch warehouses. Completing end-of-day driver settlements for accounts receivable, along with reconciliation and proof of delivery documentation, is a key responsibility. The role requires handling Hot Shot/Samples documentation, communication, proof of delivery, and reconciliation for accounting on a daily basis as needed. Customer service is a significant aspect of this position, as the Operations Coordinator will assist in successfully resolving customer issues, perform basic reporting functions, and interact daily with employees and management. The role also includes assisting with day-to-day clerical activities such as filing, scheduling, and mail distribution. Analyzing data and compiling statistical information to assist sales management in reaching volume, financial, and distribution goals is also part of the job. The Operations Coordinator will generate and prepare various sales-related reports using Margin Minder, Microsoft Excel, and PowerPoint programs, while maintaining internal sales-related databases and Excel spreadsheets for current information and accuracy. Moreover, the Operations Coordinator will provide superior customer service to both internal and external customers and help coordinate events, including monthly sales meetings, supplier meetings, and special events. This position is crucial for maintaining operational efficiency and ensuring high levels of customer satisfaction.

Responsibilities

  • Answer telephone calls from customers, shippers, sales reps, and managers and process these calls or direct them to the appropriate party.
  • Take sales orders (both internal and external) and enter these orders into the order processing system.
  • Produce invoices, bill of ladings, and other documents related to customer orders and inventory transfers shipped to other branch warehouses.
  • Complete end of day driver settlements for AR with reconciliation and proof of delivery documentation.
  • Handle Hot Shot/Samples documentation, communication, proof of delivery and reconciliation for accounting, completed daily as needed.

Requirements

  • High school diploma or General Education Degree (GED) preferred; related experience or training in customer service; or equivalent combination of education and experience.
  • Beverage distribution support experience a plus.
  • Proficient in Microsoft Office (Word, Excel, Outlook, etc.).
  • Excellent communications skills, both written and verbal.
  • Must be detail oriented, with problem solving ability, and strong organization skills.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations.
