About the position

The Operations Coordinator at the Bowyer Treatment and Oncology Center plays a crucial role in ensuring the smooth operation of clinic activities under the direct supervision of the Center Director and Practice Manager. This position involves organizing various aspects of clinic operations and managing projects as assigned. The Operations Coordinator is expected to acquire the necessary job skills, policies, and procedures to effectively manage their assignments, coordinate work with teammates, and exercise sound judgment within defined guidelines to determine appropriate actions. Daily responsibilities include monitoring clerical activities, authorizations, scheduling, and referral coordination. The incumbent will also support the Practice Manager and Director in overseeing staff performance, ensuring compliance with policies and regulations, completing audits, and training new administrative staff. Additionally, the Operations Coordinator serves as a resource for staff when patients have complaints or when complex questions arise in the clinic. The role also includes providing coverage for staff absences, ensuring that clinic operations continue seamlessly. This position is integral to maintaining a productive working environment in a multi-specialty setting, requiring strong interpersonal skills to collaborate effectively with all levels of management, staff, providers, and fellows from diverse backgrounds. The Operations Coordinator must be adept at analyzing information and situations to define objectives, identify patterns, and formulate conclusions, all while creatively integrating competing demands to enhance clinic operations.

Responsibilities

  • Organize aspects of clinic operations and projects as assigned.
  • Monitor daily activities including clerical activities, authorizations, scheduling, and referral coordination.
  • Support the Practice Manager and Director in overseeing staff performance and compliance with policies and regulations.
  • Complete audits and train new administrative staff.
  • Serve as a resource for staff regarding patient complaints and complex questions.

Requirements

  • At least two years of scheduling or authorization experience.
  • Demonstrated leadership experience in a busy, complex outpatient setting.
  • Skill in analyzing information, problems, situations, and procedures to define objectives and formulate conclusions.
  • Ability to set priorities that reflect the relative importance of job responsibilities.
  • Strong interpersonal skills for effective collaboration and problem-solving with management, staff, providers, and fellows.
  • Skill in verbal communications to convey complex problems and proposals clearly.
  • Ability to integrate competing demands in a multi-specialty setting into a productive working environment.
  • Ability to interact diplomatically with a patient population in varying degrees of health.
  • Ability to work overtime in cases of emergency.

Nice-to-haves

  • At least one year of oncology experience.
  • Knowledge of scheduling patient appointments using CareConnect/EPIC.
  • Working knowledge of research-oriented patient care systems.
  • Familiarity with University policies and procedures for managing accounting systems, cashiering, risk management, and personnel.
