About the position

Oldcastle APG, a CRH Company, is seeking an individual to perform general administrative duties within the department to which they are assigned. This role involves a variety of routine clerical functions and may require support for multiple departments simultaneously. The successful candidate will be responsible for preparing reports, sorting and filing documentation, and assisting management in forecasting sales demands to maximize production efficiencies. Additionally, the individual will prepare and issue daily production schedules aimed at minimizing inventory levels while maximizing product availability and customer satisfaction. The position also entails managing the location and lifecycle of all molds, collaborating with management on annual mold purchases, and preparing and issuing purchase orders and change notices. The candidate will review purchase order claims and contracts, assist the accounting department in verifying pricing and receipts of purchased products, and contact suppliers regarding adjustments, incorrect materials, delivery delays, and other related issues. Scheduling inbound delivery dates and negotiating freight payment terms will also be part of the responsibilities. Moreover, the individual will determine optimal manufacturing and purchasing volumes based on historical usage and current stock levels, maintain historical records by filing documents, and organize and maintain file systems. The role includes maintaining a group calendar for employee vacation schedules, conducting safety orientations with visitors, ordering and maintaining supplies, and arranging for equipment maintenance. The candidate will also be expected to develop and grow internal and external customer relationships to improve the company's growth and conduct research to compile and type statistical reports. Some accounts payable and receivable filing and maintenance may also be required, along with other duties related to the nature of the job as assigned.

Responsibilities

  • Prepare reports and sort and file documentation
  • Assist management in forecasting sales demands to maximize production efficiencies

  • Issue purchase orders and receive product into Lawson
  • Determine optimal manufacturing and purchasing volumes based on historical usage and current level in stock
  • Maintain historical records by filing documents
  • Organize and maintain file systems, and file correspondence and other records
  • Maintain group calendar for employee vacation schedules
  • Conduct safety orientations with visitors
  • Order and maintain supplies and arrange for equipment maintenance
  • Provide support for assigned department(s)
  • Develop and grow internal and external customer relationships for the purpose of improving the company's growth
  • Conduct research, and compile and type statistical reports
  • Perform some A/P & A/R filing and file maintenance
  • Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed.

Requirements

  • High school diploma or equivalent and at least one year of office experience or equivalent combination of education and experience
  • Bachelor's degree preferred
  • Knowledge of basic office equipment (phone, fax, copier, 10-key)
  • Strong Microsoft Office skills
  • Excellent verbal and written communication skills
  • Ability to communicate with employees, peers, supervisors, vendors and customers in an effective manner
  • Must be detail-oriented, organized, and have problem-solving and reasoning skills
  • Ability to perform advanced math calculations
  • Ability to apply common sense understanding to carry out written and oral instructions
  • Ability to solve practical problems and deal with a variety of concrete variables with little or no structure
