About the position

The Operations Coordinator-Consulting Services plays a crucial role in ensuring the smooth operation of the Consulting Services department by executing various clerical and administrative tasks. This full-time position involves supporting project managers, maintaining office supplies, and ensuring timely communication across teams to enhance productivity and efficiency.

Responsibilities

  • Provide general office administrative, technical and clerical support such as answering telephones, processing mail, e-mailing, filing, data-entry, faxing, copying, corresponding, and customer service.
  • Communicate frequently with team members and other units across the Organization.
  • Coordinate with Project Managers for job preparation and job deadlines.
  • Track time and completion of jobs.
  • Ensure report accuracy and timeliness.
  • Support and maintain department operations.
  • Maintain office supplies and expendable field supplies.
  • Coordinate training schedules and programs for Field Service employees as well as certifications.
  • Manage scheduling consultations.

Requirements

  • High school diploma or equivalent.
  • 1-3 years of administrative experience such as scheduling, planning, and utilizing office equipment.
  • Outstanding verbal and written communication skills, including strong interpersonal skills.
  • Ability to prioritize and manage multiple projects simultaneously.
  • Ability to work under pressure in a fast-paced environment.
  • Advanced knowledge of Microsoft Windows, Outlook, Word, Excel, and PowerPoint.

Nice-to-haves

  • Degree in a business/management discipline or equivalent experience preferred.
  • General construction knowledge is ideal but not required.
  • Asbestos and/or Lead Certified is ideal; ability to become certified required.
