About the position

The Operations Coordinator at JFCS is responsible for managing front-desk operations staff, ensuring efficient clinic operations, and optimizing patient visits. This role involves overseeing staffing assignments, coordinating schedules, conducting performance evaluations, and implementing necessary disciplinary actions. The Operations Coordinator plays a key role in strategic planning and communication of operational policies, while also providing training and support to staff.

Responsibilities

  • Monitors staffing assignments for optimizing impact on clinic and patient visits.
  • Coordinates staff vacation requests and arranges for coverage of critical office functions.
  • Assists with strategic planning for clinic operations.
  • Oversees application assignments.
  • Conducts staff meetings.
  • Manually tracks incoming and outgoing members.
  • Monitors several required reports that sustain front-end operations.
  • Tracks petty cash funds monthly.
  • Coordinates case transfers to other sites within the agency and to other agencies/networks.
  • Plans individual work assignments for operations staff.
  • Assists in communicating operational policy and procedures to staff at their site.
  • Provides orientation and ongoing training for office functions.
  • Coordinates the intake process, ensuring that intakes are processed according to contract requirements and operations policy.
  • Purchases supplies, maintains phone lists, and tracks new hires.

Requirements

  • High School diploma, with coursework or significant experience in computer science and/or records management preferred.
  • Bachelor's Degree in business, management, or computer science is preferred and may be considered in place of the required experience.
  • Previous work experience in a position requiring significant public contact, preferably in a medical office.
  • Office organization skills and ability to type 45 wpm.
  • Prior Behavioral Health experience preferred.
  • Supervisory experience.
  • Computer experience with NextGen and Microsoft Office preferred.
