Customer service is a key component of this role, requiring the ability to provide a high level of positive and friendly service to both internal and external customers. This includes conducting customer service interviews and recovery efforts within clinical spaces. The Operations Coordinator will also be tasked with promoting excellence in professional appearance, communication, and customer service. Proficiency in Microsoft Office products, including Word, Excel, PowerPoint, and Publisher, is necessary for creating presentations and managing database entries. The role involves coordinating and facilitating meetings and events, supporting department programs, conducting candidate interviews, and maintaining compliance with HIPAA standards. Effective communication with all stakeholders, including patients, families, and hospital employees, is essential to keep the leadership team informed of any issues that arise. Leadership qualities are important, as the Operations Coordinator will serve as a positive role model and maintain a positive attitude within the team. Responsibilities

  • Provide clerical, administrative, and operational support to the Environmental Services Director and department leadership team.
  • Gather information from hospital databases to create tailored reports upon request.
  • Coordinate, schedule, facilitate, verify, and communicate meeting and event space setups with internal and external customers.
  • Support department programs and initiatives as assigned.
  • Coordinate and conduct candidate interviews in collaboration with department hiring leaders.
  • Attend scheduled meetings, record attendance, and take minutes and agenda items as requested.
  • Maintain both electronic and paper files as directed, ensuring compliance with HIPAA standards.
  • Develop, print, and distribute correspondences as directed.
  • Manage department leadership's schedules for maximum effectiveness as requested.
  • Maintain current knowledge of hospital and departmental initiatives and provide up-to-date information to the leadership team.
  • Conduct customer service interviews to solicit feedback and address opportunities for improvement.
  • Plan, coordinate, perform, and document training for new hires and existing staff.
  • Complete and document quality assessments for various department roles and tasks.
  • Maintain and order office supplies and equipment as directed.
  • Report safety hazards and ensure knowledge of fire alarm locations and safety equipment.

Requirements

  • Associate degree in a related field or equivalent years of experience; high school diploma required.
  • 1-3 years of experience in secretarial duties preferred.
  • Excellent interpersonal and communication skills.
  • Strong computer skills, particularly in Microsoft Office (Excel, PowerPoint, Word).
  • Flexibility in task assignments and mobility.
