About the position

The Operations Coordinator for Genetics at Brigham and Women's Hospital (BWH) plays a crucial role in supporting the Center for Data Sciences (CDS), a collaborative initiative involving the Department of Medicine at BWH, Harvard Medical School, and the Broad Institute. This position is designed for a full-time commitment of 40 hours per week, where the individual will work closely with the CDS Director, Dr. Soumya Raychaudhuri, to ensure the smooth operation of the CDS, which includes the Raychaudhuri, Loh, and Korsunsky lab groups. The Operations Coordinator will be responsible for a variety of administrative tasks that are essential for the functioning of the research division, requiring a high level of initiative, independent judgment, and professionalism. The ideal candidate will have a background in administration within a research environment and will be adept at multi-tasking to provide comprehensive operations and facilities support. This role demands excellent organizational skills and the ability to work collaboratively with a team of motivated scientists and administrative professionals. The Operations Coordinator will be expected to manage various responsibilities, including overseeing lab operations, coordinating seminars and conferences, and ensuring compliance with institutional protocols related to human subjects research. In addition to administrative support, the Operations Coordinator will facilitate the recruitment and onboarding of new faculty members, assist with lab outfitting, and serve as a point of contact for lab members regarding administrative issues. The position requires a proactive approach to problem-solving and the ability to maintain discretion and confidentiality in all matters related to the CDS and its operations.

Responsibilities

  • Responsible for the smooth operation of the Raychaudhuri lab, including follow-up on action items and miscellaneous activities.
  • Keep the Principal Investigator (PI) informed about staff issues in a timely manner.
  • Assist with arrangements for seminars and conferences, including travel itineraries, reservations, and employee reimbursements.
  • Provide routine administrative support such as typing memos and letters, answering and transferring telephone calls, and taking and distributing messages.
  • Initiate Institutional Review Board and Biosafety Registration submissions for protocols involving human subjects research and monitor compliance with CITI certification training.
  • Support lab outfitting by assisting researchers with orders for equipment, laboratory, and office supplies.
  • Interface with vendors, manage orders, and liaise with Accounts Payable and Purchasing Departments as needed.
  • Process all check requests, invoices, and expense reports in a timely manner.
  • Serve as point person with the CDS labs and Research Management Contract Teams.
  • Facilitate and assist with the search and recruitment process for CDS faculty and onboarding of new hires.
  • Assist staff with organizational, policy, and procedure questions.
  • Responsible for maintenance of the CDS labs.
