About the position

The Operations Coordinator for the Center for Data Sciences (CDS) plays a crucial role in providing administrative support to the CDS, which is a collaboration between the Department of Medicine at BWH, Harvard Medical School, and the Broad Institute. This position involves working closely with the CDS Director and supporting various lab groups by ensuring smooth operations, managing administrative tasks, and facilitating communication among team members.

Responsibilities

  • Responsible for the smooth operation of the Raychaudhuri lab, including follow-up on action items and miscellaneous activities.
  • Bring to the PI's attention all matters that require his/her review and/or action.
  • Keep the PI informed about any staff issues in a timely manner.
  • Assist with arrangements for seminars and conferences, including travel itineraries, reservations, and deposits, as well as employee reimbursements.
  • Provide routine administrative support such as typing memos and letters, answering and transferring telephone calls, and taking and distributing messages.
  • Initiate Institutional Review Board and Biosafety Registration submissions for protocols involving human subjects research and/or human or non-human source materials and processes annual Continuing Reviews.
  • Monitor study staff to ensure compliance with CITI certification training.
  • Support the outfitting of labs by assisting researchers with placing orders for equipment, laboratory, and office supplies.
  • Interface with vendors, manage orders, and liaise with Accounts Payable and Purchasing Departments as needed.
  • Process all check requests, invoices, and expense reports in a timely manner.
  • Serve as point person with the CDS labs and Research Management Contract Teams including Innovations and Research Management.
  • Facilitate and assist with the search and recruitment process for CDS faculty and onboarding of new hires.
  • Serve as a point of support for lab members on any administrative issues.
  • Assist staff with organizational/policy/procedure questions.
  • Responsible for maintenance of the CDS lab websites.
  • Perform all other duties and assignments and special projects, as requested.

Requirements

  • Associate's Degree required; Bachelor's degree in biology, health sciences or related discipline preferred.
  • 2-4 years of related experience.
  • Experience with the administrative aspects of a research project.
  • Experience with Partners Healthcare Systems and NIH grants helpful.
  • High degree of independence, initiative, and problem-solving ability.
  • Computer proficiency required.
  • Careful attention to detail and organizational skills.
  • Ability to prioritize among many tasks and work quickly under pressure.
  • Excellent communication and interpersonal skills, collaborates well with others.
  • Ability to demonstrate a high degree of professionalism and discretion.
  • Knowledge of bookkeeping and accounting principles, practices, and software.

Nice-to-haves

  • Experience with Partners Healthcare System a plus.
