About the position

The Operations Coordinator at Pharmavite is responsible for analyzing inventory and documentation activities related to Packaging and Manufacturing work orders. This role involves collecting and compiling data on operational metrics for production, quality, and safety, and making recommendations for process improvements. The coordinator will handle various administrative and support functions within the Packaging and Manufacturing departments, ensuring compliance with specifications and regulatory requirements.

Responsibilities

  • Collects, compiles, tracks, and reports on all work order procedures in Packaging/Manufacturing/Inventory procedures and makes recommendations on process improvements.
  • Assembles and reviews Packaging/Manufacturing batch records and reconciles changes or modifications.
  • Performs necessary computer-related transactions and signs off on the completeness and accuracy of batch records.
  • Validates bulk and label yields and reconciles any variances, documenting appropriate exception reports for variances as required.
  • Collects documentation and prepares preliminary reports to assist in investigations on quality/documentation discrepancies.
  • Assigns Operators to Packaging lines/Manufacturing suites based on the daily schedule.
  • Works with Planning and Warehouse to prioritize work orders on the packaging/manufacturing scheduling board.
  • Assists supervisors in developing and reporting department's metrics including productivity, down time, work order yield, and dollar variances.
  • Participates in physical counts, reconciling and systematically adjusting perpetual inventory records in Packaging/Manufacturing.
  • Checks the completeness and accuracy of products delivered from the warehouse and recommends process and system improvements.
  • Develops and revises SOPs as required and routinely validates Finished Goods/Bulk pallet counts for Packaging.
  • Communicates and interacts routinely with cross-functional groups, including Manufacturing/Packaging, Production Planning, Quality, Operations Control, IT, and Warehouse.
  • Provides assistance in composing, editing, preparing, and distributing materials for meetings and presentations to leadership.
  • Checks production schedule to determine variety and quantity of products to process and ensures enough raw materials have been staged for production runs.
  • Performs close out of work orders in JDE in a timely manner and enters product batch review right first time (RFT) information for monthly reporting.
  • Reports on batch deficiencies noted during review that may delay batch release and ensures documentation is maintained in accordance with internal procedures and regulatory requirements.

Requirements

  • High school diploma or GED required; Associate's degree preferred.
  • 3-5 years of experience in a manufacturing environment.
  • Experience with software and data entry, particularly in computer-related systems.
  • Experience developing spreadsheets and preparing reports in a business environment.
