About the position

The Operations Coordinator position for the Hanging Sign/Rigging Department at Hanging Sign Global Experience Specialists, Inc. is a vital role that focuses on the pre-planning and execution of hanging sign and rigging needs for assigned shows. The coordinator will work closely with exhibitors to ensure that 70% of hanging sign information is collected prior to the shows, facilitating a smooth on-site installation process. This role requires proactive communication and coordination with various stakeholders to ensure that all necessary information is gathered and processed efficiently. Once on-site, the Operations Coordinator will be responsible for data entry, advising Exhibitor Services when all entries are complete, and preparing any necessary tickets for outbound logistics. In larger-scale shows, the coordinator may also be required to assist at the service desk, providing support to exhibitors with new orders, changes to existing orders, and addressing service opportunities. The position demands a high level of organization and attention to detail to ensure that all hanging sign orders are accurately processed and dispatched at the show site. The Operations Coordinator will also be tasked with tracking and logging exhibitor hanging sign information, sharing updates through SharePoint, and maintaining communication with city operation teams. This role is essential in ensuring that all tasks are prioritized effectively to meet deadlines and that managers are kept informed of any issues that arise. The coordinator must perform all duties with integrity, avoiding any conflicts of interest, and will also be expected to take on additional responsibilities as assigned by management.

Responsibilities

  • Proactively contact exhibitors to assist in understanding how to place a hanging sign order.
  • Follow-up contact with exhibitors to clarify orders.
  • Process hanging sign orders and generate hard card packets for the operations team on-site.
  • Review and audit hanging sign orders against floor plans ensuring their accuracy.
  • Track and log the exhibitor hanging sign information.
  • Share information through SharePoint when prepping orders for other cities.
  • Communicate through teams with city operation teams.
  • Organize hanging sign orders to ensure correct dispatching at the show site.
  • Prepare paperwork to be shipped in a timely manner to the cities.
  • Service exhibitors at the desk at show site with new orders, changes to orders, and service opportunities.
  • Perform data entry and audit of hanging sign/rigging labor produced at the show site.
  • Prioritize tasks and responsibilities to meet deadlines and complete highest priorities first.
  • Keep managers and Team Managers up to date on all issues.
  • Perform all duties with the utmost integrity avoiding any conflict of interest between GES and any other entities.
  • Perform other duties as assigned by management.

Requirements

  • High School Diploma or GED
  • Demonstrate leadership ability
  • Proficient in Microsoft Office
  • Ability to work in a fast-paced environment and meet deadlines with little supervision
  • Excellent communication skills
