About the position

Momar is seeking an Operations Coordinator I to join our AquaTrol division. This role is pivotal in ensuring the smooth operation of our internal and external departments. The Operations Coordinator I will report directly to the Operations Supervisor and will be responsible for a variety of tasks that support both customer service and sales operations. The ideal candidate will serve as a key interface between our customers and sales representatives, ensuring that all requests and inquiries are handled efficiently and effectively. In this position, you will handle incoming email and phone requests from customers and AquaTrol/Momar Sales Representatives. You will perform daily follow-up tasks, manage emails, and monitor tickets to ensure timely responses. Additionally, you will be responsible for ordering certificates of insurance for customers, proofreading AquaTrol orders, and reviewing job orders to assist Sales Representatives in avoiding negative settlements. Your role will also involve processing bill-only orders, setting up new customer cards, and managing customer job contracts and paperwork. The Operations Coordinator I will assist customers and the Accounting department with billing inquiries, submit invoices online for customers requiring portal submission, and maintain an updated list of invoice special requests. You will also adjust commissions on monthly invoices, generate billing and charges for WPC construction jobs, and document new vendor invoice processes. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously while meeting deadlines. Overall, the Operations Coordinator I plays a crucial role in supporting the sales and operations teams, ensuring that all processes run smoothly and efficiently, and contributing to the overall success of the AquaTrol division.

Responsibilities

  • Handle incoming email and phone requests from customers and AquaTrol/Momar Sales Representatives.
  • Perform daily follow-up tasks and manage emails, including monitoring and for tickets.
  • Order certificates of insurance for customers.
  • Proofread all AquaTrol orders, editing and correcting as needed before releasing to shipping.
  • Review and process bill-only orders, entering and invoicing them accurately.
  • Set up new customer cards with appropriate notes in the system.
  • Review and process all customer job contracts and paperwork for execution.
  • Review job orders and compare with job balances to assist Sales Representatives in avoiding negative settlements.
  • Assist customers and Accounting with billing inquiries.
  • Submit invoices online for customers requiring portal submission.
  • Maintain and update list of invoice special requests.
  • Adjust commissions as necessary on monthly invoices.
  • Generate billing, charges, and end dates for all WPC construction jobs with Sales Representatives.
  • Update and note customer billing information on both customer cards and job cards as requested.
  • Document new vendor invoice processes on customer cards and job cards.
  • Follow up monthly with Sales Representatives to obtain billing amounts for invoicing.
  • Review, correct, and process all AquaTrol Sales Representative and Staff expense reports in Concur.
  • Assist sales and operations teams with bid preparation.

  • Minimum 2 years of operations experience in a manufacturing environment or related industry.
  • Minimum 2 years billing experience.
