About the position

The Operations Coordinator II at AFSPA plays a crucial role in supporting the overall operations of the organization and assisting the Sr. Manager of Operations. This position involves coordinating major improvement initiatives, managing project tasks, and ensuring alignment with organizational goals. The role requires a detail-oriented individual who can effectively collaborate with various departments and external partners to enhance operational efficiency and productivity.

Responsibilities

  • Support major AFSPA improvement initiatives by coordinating efforts between internal departments and external partners.
  • Leverage ClickUp to track tasks and ensure projects align with organizational goals.
  • Assist in planning and executing the annual meeting, company retreat, Buddy Up program, and Wellness & Morale committee activities.
  • Assist in AFSPA's annual policy review process for accreditation purposes, ensuring Operations policies remain current.
  • Analyze workflows, gather feedback, and recommend actionable improvements to enhance departmental efficiency and productivity.
  • Maintain the filing system for operations documents in both paper and electronic form.
  • Monitor, generate, and disseminate monthly data analytics reports and collaborate with management to review findings and recommend process enhancements.
  • Provide support in monitoring and executing the strategic plan and related initiatives.
  • Prepare and submit expense reports and invoices for review and approval.
  • Assist with open season travel for AFSPA and partner travelers, including booking travel and preparing itineraries.

Requirements

  • Bachelor's degree or 4 years of equivalent work experience in office administration, project coordination, or operations support, ideally in healthcare or customer service.
  • Project management certification preferred, with experience managing vendors and cross-functional tasks valued.
  • Highly organized and detail-oriented with proficiency in Microsoft Office Suite and project management tools like ClickUp.
  • Strong written and verbal communication skills essential for collaboration, critical thinking, problem-solving, and adaptability.

  • Experience in healthcare or customer service environments.
  • Familiarity with data analytics and reporting tools.
