About the position

This role will be responsible for effectively planning, communicating, and executing key onsite events and tasks for our Operations team to drive culture, engagement, and efficiencies across a site. The Operations Coordinator will play a crucial role in ensuring that new hires are smoothly integrated into the company and that ongoing operations run efficiently. This includes managing the logistics of onboarding new employees, facilitating orientation sessions, and maintaining accurate site rosters and schedules. The coordinator will also be tasked with ordering necessary supplies for the site and preparing communication plans for key operational initiatives or events. In addition to these responsibilities, the Operations Coordinator will be responsible for writing, creating, and distributing internal communications such as emails, business updates, and announcements. They will handle, coordinate, and oversee onsite engagement events, ensuring that these events are executed flawlessly and contribute positively to the company culture. Collaboration with leadership teams, internal stakeholders, vendors, and partners will be essential to the success of this role, as the coordinator will need to ensure that all parties are aligned and informed. Other duties may be assigned as needed, reflecting the dynamic nature of the role.

Responsibilities

  • Own pre-employment/post employment of new hires consisting of I-9 verifications, official offer letters and on-site drug testing (only applicable to DOT related roles)
  • Facilitate new hire orientation
  • Maintain site rosters and schedules
  • Order site-level supplies
  • Prepare and execute communication plans for key operations initiatives or events
  • Write, create, and distribute internal communications such as emails, business updates, and announcements
  • Handle, coordinate and oversee onsite engagement events
  • Collaborate with leadership teams, internal stakeholders, vendors, and partners
  • Other duties as assigned

Requirements

  • Bachelor's degree preferred
  • 1-2 years of experience in related fields
  • Excellent oral and written communication skills
  • Experience coordinating events and creating ultimate excitement/hype around them
  • Flexible schedule; willing to work weekends and stay late to ensure success
  • Self motivated individual and ability to work autonomously
  • Be a creative force and master of execution
  • Ability to communicate clearly and concisely, both internally and externally
  • Ability to multitask, remain calm and work under pressure in a fast-paced environment
  • Excellent organizational, event management, time management skills
  • Confidentiality and integrity while handling sensitive information
  • A passion for keeping things neat and organized, all while remaining upbeat and positive
