About the position

The Operations Coordinator at Patterns Behavioral Services plays a crucial role in supporting the operations and clinical staff by providing excellent customer service and administrative support. This position requires a driven self-starter with strong communication and organizational skills, who can effectively manage office tasks and assist visitors. The Operations Coordinator acts as a liaison between the clinical team and operations, ensuring smooth communication and efficient operations within the clinic.

Responsibilities

  • Reconcile and audit clinic schedule for non-billable hours and provide feedback to the supervisor.
  • Use operational checklist to perform weekly responsibilities and conduct weekly operation audits.
  • Maintain Client CentralReach labels for assigned clinics.
  • Document communication and cancellations accurately and in a timely manner.
  • Maintain accurate schedules along with staff and client availability for assigned locations.
  • Generate scheduling and billing reports and maintain assigned clinic lists.
  • Work with the clinical team to ensure timely session conversion and signatures.
  • Assist or fill in for administrative support if coverage is needed.
  • Partner with Operations Managers for drive folder and file organization.
  • Evaluate, report, and correct risks/compliance concerns.
  • Provide excellent customer service to clients and business partners.
  • Provide clerical support and assist with office management functions, including maintaining office supply inventory and processing paperwork requests.
  • Work with other departments for timely paperwork and task completion.
  • Maintain a presentable environment for clients, families, and staff, including daily sanitation and upkeep.
  • Assist in the completion of accreditation tasks and responsibilities.
  • Complete work accurately and timely, meeting deadlines.
  • Maintain positive, productive, and collaborative working relationships with staff, clinical team, management, and customers.
  • Complete or assist in the completion of client file requests.
  • Maintain confidentiality of Personal Health Information (PHI) and other privileged information.
  • Perform other responsibilities as assigned.

Requirements

  • Must be at least 18 years of age.
  • Must have a High School Diploma or equivalent.
  • Experience or interest in working with individuals with disabilities preferred.
  • Reliable means of transportation required.
  • Experience in an administrative role preferred.
  • Background clearance required.
  • Cleared TB test, where required.
  • Maintain a clean and professional appearance.
