About the position

The Operations Coordinator for New Installation at TK Elevator Corporation is responsible for managing all administrative duties related to the New Installation operations department. This role ensures that the department operates efficiently and cost-effectively, handling tasks such as coordinating booking packages, managing permits, and maintaining project documentation.

Responsibilities

  • Receive and review completed booking packages from sales for compliance with terms and conditions.
  • Electronically file booking packages into JobSight and update key member and customer contact information.
  • Create and send Letter One packages to customers and task managers for follow-up.
  • Work with management to determine necessary permits and prepare related documentation.
  • Send turnover approval requests for jobs scheduled for final inspection.
  • Maintain accurate JobSight and inter-department calendars.
  • Input final acceptance forms into JobSight and notify relevant personnel.
  • Update JobSight with New Installation Maintenance audit reports and send them to the appropriate email.
  • Prepare certified payroll packages for the Regional Certified Payroll Administrator.
  • Log change orders into JobSight and follow up on outstanding items.
  • Prepare documentation for weekly operation meetings and monthly order management calls.
  • Schedule final inspections with necessary parties.
  • Complete project closeout documentation and distribute to required recipients.
  • Field customer inquiries regarding job status and provide updates.
  • Participate in monthly Accounts Receivable conference calls and follow up on outstanding items.
  • Track and send deposit checks to Regional Collections.
  • Assist in payroll preparation for Manager/Superintendent approval.
  • Track time-off requests using Vacation Tracker and forward reports as needed.
  • Submit warranty claims and track their processing.
  • Create parts requisitions based on detailed documentation from field management.
  • Review invoice on-hold reports and resolve issues with relevant parties.
  • Maintain and analyze various reports related to operations.

Requirements

  • High school diploma or GED; or one-year certificate from college or technical school; or three to six months related experience in business administration; or equivalent combination of education and experience.
  • Six months to one year of prior experience in construction or elevator repair administrative work.

Nice-to-haves

  • Experience in manufacturing (1 year preferred).
  • Experience in construction (1 year preferred).
