About the position

The Operations Coordinator at Northwest Austin Texas Orthopedics plays a crucial role in enhancing practice operation efficiencies and productivity. This position involves close collaboration with leadership, particularly the Chief Operating Officer (COO), to manage various administrative and organizational tasks, ensuring that projects are tracked and deadlines are met. The coordinator will assist in preparing for meetings, managing communications, and maintaining operational reports, all while supporting the overall goals of the practice.

Responsibilities

  • Assist in task and project tracking, including assignments to staff and leadership.
  • Provide routine reporting updates and actionable items to ensure deadlines are met.
  • Attend key meetings with the COO and Director of Patient Services.
  • Maintain the COO's calendar and schedule meetings.
  • Prepare agendas, draft presentations, and compile data and reports for meetings.
  • Complete meeting minutes and actionable items for operational meetings.
  • Generate reports via EMR and software platforms for operational analysis.
  • Manage email and phone communications for the COO.
  • Prepare correspondence and documents for the COO.
  • Coordinate travel arrangements as needed.
  • Review and track policies and procedures, collaborating with department leadership for updates.
  • Understand practice operations and departmental goals to identify inefficiencies and improvement opportunities.
  • Create and maintain templates for policy and procedure management.
  • Research operational issues within EMR and software platforms.
  • Assist with new provider onboarding and template reporting.
  • Perform clerical duties such as scanning and filing as needed.
  • Complete other tasks as directed by the COO.

Requirements

  • High school diploma or GED required; bachelor's degree preferred.
  • Minimum of two years of administration/operational experience, preferably in healthcare.
  • Strong working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Technical proficiency to administer virtual meetings.
  • Outstanding interpersonal skills for dealing with medical and administrative staff, physicians, patients, and the public.
  • Knowledge of governmental regulations and compliance requirements.
  • Ability to exercise initiative, judgment, problem-solving, and decision-making.
  • Highly organized, flexible, and able to adjust priorities as needed.
  • Proactive in anticipating team needs.
  • Effective communication skills in writing and verbally in various settings.
  • Strong active listening skills.
  • Professionalism and ability to maintain confidentiality.
