In this position, the Operations Coordinator will be responsible for managing communications in a dynamic setting, which includes assisting visitors, maintaining patient confidentiality, and ensuring that all patient belongings are handled according to hospital policies. The coordinator will also be tasked with answering calls promptly, scheduling cases, and maintaining effective communication with all relevant personnel regarding case bookings, changes, and cancellations. This role demands a strong understanding of medical terminology and the ability to navigate various scheduling systems effectively. The Operations Coordinator will also assist in documentation tasks, including transcribing nursing assignments, managing the master schedule of case progression, and ensuring that all necessary individuals are informed of finalized schedules. Attention to detail is critical, as the coordinator will be responsible for verifying blood products and ensuring that all requisition slips are completed accurately. Overall, this position is integral to the operational success of the Operating Room, requiring a blend of customer service skills, communication abilities, and administrative expertise.

Responsibilities

  • Promote effective customer service to all individuals.
  • Maintain professional relationships with nursing staff, anesthesia staff, and management.
  • Assist visitors in the Operating Room, including patients and families.
  • Problem-solve effectively and maintain patient confidentiality.
  • Answer blood bank call lights in a timely manner.
  • Assist employees and visitors with securing their belongings in lockers.
  • Ensure patient belongings are handled according to MGH policies.
  • Handle patient charts and x-rays in compliance with MGH procedures.
  • Implement MGH policies and procedures effectively.
  • Maintain professional communication to enhance a positive working environment.
  • Assist in maintaining communications between OR staff and other departments.
  • Notify team leaders of case bookings, changes, or cancellations.
  • Handle heavy telephone volume and manage calls efficiently.
  • Assist with day-to-day non-clinical operations and environmental issues.
  • Act as a liaison for patient information across various units.
  • Assist in transcription of nursing assignments and break/lunch lists.
  • Finalize Perioperative Nursing Status Reports as a communications liaison.
  • Schedule cases on the wait list and enter them into the scheduling system.
  • Maintain the master schedule of case progression and ensure synchronization with the computer system.
  • Complete requisition slips for blood and blood products accurately.
  • Verify that blood products sent to the Operating Rooms are correct and appropriate.
  • Check the pneumatic tube system regularly for proper flow of information/products.
  • Gather and organize patient charge slips from the Operating Rooms.

Requirements

  • High School Diploma or GED required; Associate Degree preferred.
  • Medical or health care experience desirable, but willing to train otherwise qualified candidates.
  • Strong computer skills and the ability to learn new systems and procedures.
  • Effective interpersonal and communication skills.
  • Strong customer service orientation and ability to interact with diverse groups.
  • Demonstrated ability to solve basic patient and practice problems.
  • Medical terminology strongly preferred.
