About the position

Intertek, a leading provider of quality and safety solutions, is seeking an Operations Coordinator to join our Caleb Brett team at our Signal Hill Facility. This role presents an exciting opportunity to develop a versatile career in the Inspection and Testing business within a global and award-winning organization. The Operations Coordinator will play a crucial role in supporting the Cargo & Analytical Assessment business by ensuring effective communication with both internal and external clients, thereby facilitating the accurate delivery of our services. The Caleb Brett team specializes in cargo inspection and analytical assessment for the petroleum, mining, minerals, and biofuels industries. Our mission is to help customers optimize their cargo returns and resolve complex technical challenges through our extensive expertise and innovative solutions. As an Operations Coordinator, you will be responsible for managing job nominations and assignments, acting as the single point of contact for customers in your designated area. You will handle requests for services, maintain detailed records, and ensure compliance with client instructions while identifying potential operational issues. In this role, you will also be tasked with maintaining communication among all parties involved in job assignments, collecting information from inspectors, and coordinating with laboratories to prepare final reports. Additionally, you will manage account receivable balances and maintain accurate records for billing and claims handling. This position requires a proactive approach to problem-solving and a strong understanding of the petroleum and chemical inspection processes. You will also be expected to represent the company positively during customer visits and job site assessments, contributing to the overall marketing strategy for your clients.

Responsibilities

• Manage job nominations and/or assignments from specific customers for a particular branch office, area or region.
• Act as the single point of customer contact for business related to that particular branch office, area or region.
• Record the details of service requests and enter each job into a record system with a unique identifier.
• Review client instructions to identify potential operational problems and alert relevant parties for solutions.
• Act as a decision maker and problem solver for issues involving specific customer job nominations or assignments.
• Communicate with clients to obtain detailed instructions and verify their needs, coordinating further communications with Intertek personnel.
• Maintain communication flow between responsible parties involved in job assignments and manage service requests.
• Collect information from inspectors and communicate with laboratories regarding analysis performed, assembling final reports for publication.
• Manage account receivable balances and maintain accurate records on closed jobs for billing and claims handling.
• Coordinate with corporate business development to derive an overall marketing plan for particular customers.

Requirements

• Two years of experience in an inspection company with knowledge of basic contract do's and don'ts.
• Sound knowledge of petroleum and chemical inspection procedures.
• Understanding of business requirements relative to the services provided.
• Working knowledge of testing commodities core to the business and the significance of quality test data.
• Valid Driver's License with a reliable driving record.

Nice-to-haves

• Three or more years of petroleum and chemical inspection experience is preferred.
• Experience in petroleum and chemical operations is highly preferred.
• Proficient use of Microsoft Applications.
• Willingness to travel.
• TWIC certification is preferred.
