About the position

The Ops Coordinator, Rehab Patient Services reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards. The Operations Coordinator, Rehab Patient Services is responsible for registration and scheduling activities of multiple outpatient Rehabilitation Services Clinics in consultation with the Rehab Patient Services Manager, clinical leadership team and/or clinical staff. Assists Rehab Patient Services Manager in the supervision, hiring, training, teaching, coaching, and scheduling of front office staff in their assigned RS clinics. Operations Coordinator has comprehensive knowledge of Rehabilitation Services patient needs and works to ensure smooth and efficient scheduling and registration for efficient delivery of care, including problem resolution. This position will support Rehab Patient Services Manager in projects involving CPT and ICD coding and health insurance patient billing. The position is an integral part of the practice leadership team.

Responsibilities

  • Perform front-line duties of scheduling, registration and patient check in as needed to fill in staffing gaps.
  • Assist Manager with employee engagement: creating an environment that supports their professional role, health, and well-being.
  • Participate in interview process and onboarding of new staff.
  • Assist with coaching, mentoring, and staff development.
  • Assist Rehab Patient Services Manager in the annual performance evaluation process.
  • Partner with Rehab Services Managers and other health professionals in supporting the patient experience.
  • Schedule staff for adequate coverage to meet the needs of the department; maintain attendance records and complete accurate payroll.
  • Listen to customer feedback and implement solutions and/or interventions as appropriate.
  • Assist Rehab Patient Services Manager in translating organizational vision into a unit or service area vision.
  • Provide just-in-time feedback to improve performance and self-esteem of staff.
  • Work with Rehab Patient Services Manager and RS leadership to ensure consistency in information and compliance with business policy.
  • Act as the local patient access leader to disseminate appropriate information and changes in processes.
  • Assist Rehab Patient Services Manager to examine ways to improve business relationships with customers and suppliers.
  • Encourage sharing of knowledge and best practices.

Requirements

  • 2 years of relevant experience required.
  • High school graduate required.

Nice-to-haves

  • Experience with Epic EMR (Patient Scheduling, Registration and Billing modules).
  • Experience with using Microsoft office applications.
